Advancement Services Policy & Procedures
Occasionally the Foundation receives gifts that are not accompanied by any instructions
for the designation of that gift in the form of a solicitation response card, correspondence
from the donor or their agent, or indication on the check itself. In those cases, the
following steps will be followed, where practical, to ensure that the donor’s intent is
discovered and honored as mandated by the Donor Bill of Rights:
The Prospect Manager assigned to the donor will contact the donor to verify
designation of their gift
If no Prospect Manager is assigned to the donor, the Development Officer of
the donor’s graduating college will contact the donor to verify designation of
their gift for gifts of $250 and above. For gifts below $250, the gift will be
designated to the donor’s graduating college. If the donor has multiple
degrees, the Director of Annual Giving will be responsible for contacting the
donor to determine their preference for designation.
Non-alumni donors will be contacted by the Assistant Vice President for
Advancement for gifts of $250+; gifts less than $250 will be designated to
Changing Futures Fund.
In all instances, the donor receives a receipt from the Records Office stating:
If the donor wishes to correct the designation after receiving their receipt, they may
contact the Records Office, or a Foundation staff member, and request a re-designation of
The Foundation must honor the wishes of the donor regarding designation of a gift.
Donations that are accompanied by instructions for designation will not be questioned
unless the donor’s intent is not clear or no account exists to match the donor’s intent. Per
Foundation audit guidelines, gifts will be re-designated upon verification from donor of
the change in designation, which may take the form of correspondence or email.
