Must have IT policies for small business
Every small business that uses computers, email and the internet should have IT policies for their
employees. One of the most important things in your business is that your employees should know
that what is allowed and what is expected of them while making use of the technology and services
provided by the company. It is important for you to protect your company by framing policies for
genuine usage of services like the internet, email services, software, hardware and data. It is
important for the owner of a company to have an idea of the loss of time and productivity that may
occur due to unauthorized usage of internet and office equipment.
There are several scenarios that can be commonly seen in most of the small and medium companies.
Your employees can open e-commerce websites and order online products as the craze of online
shopping is increasing day by day.
One can put an item for sale and send an email to all other employees in the company to place their
orders to him within the next week. There can be several other ways for inappropriate use of the
company’s email system.
Sometimes the application on which an employee is working takes some time to update. Meanwhile,
he or she decides to surf the internet while the application is being updated. The employee can visit
a social networking like Facebook and waste a lot of time on it losing focus from work.
Your employees can watch entertainment videos on youtube and waste their productive hours while
watching the videos. Some employees can download software and mobile applications for their
personal use which is a complete misuse of the company’s resources.
The above-mentioned and similar situations can arise in the absence of written policies for usage of
resources by the employees. There are several areas that are required to be considered while
framing the IT policies for a small business:
Acceptable use of Technology: You should frame clear guidelines for the use of company’s resources
like computer systems, the internet, email, printers, phones and fax machines.
Security: Clear guidelines should be formed for the level of network access, passwords, rights to
access applications, antivirus protection, confidentiality and data usage.
Technology Standards: Guidelines to use the software, hardware and the type of applications
that are prohibited like mp3 downloader, video downloader, instant messenger and removable
storage devices.
Documentation and Network setup: Guidelines for the configuration of a network, adding
employees to the network, permission rights and software licensing.
IT Services: Guidelines for how the technology requirements and issues will be handled and the
concerned persons responsible for handling the technical support, installation, maintenance and
planning for technology.
It may seem difficult to create IT policies especially if you don’t have sound knowledge and base for
technology. If you face difficulty in framing the IT policies for your business you could contact an IT

consultant for the same. Some websites also provide practical information and cost management
tools for small businesses. This information and tools help small businesses to frame their IT policies.
Every company and business is different from others. So there is no policy which could suit the
needs of all companies. The guidelines of an IT policy depend on the business requirements and
business culture.
Having IT policies is essential but it should work for your business and your staff. If you don’t have
the knowledge and experience for framing the policies for your business you could contact an IT
support company like Zero Effort Networking that offers IT support Sydney and surroundings.
