USTA SOUTHWEST SECTION ADULT/SENIOR TOURNAMENT DIRECTOR’S AGREEMENT
It is the goal of the Adult/Senior Competitive Committee that our customers are provided tournament
experiences which are fair, professional, welcoming and fun. A USTA tournament sanction is given for
events on the calendar during that sanctioning year and applicants can apply to renew their tournament
sanctions each year. Factors used to determine whether a tournament sanction will be renewed or
awarded include, but are not limited to, the past performance of that tournament including not only
whether that sanction holder provided items required in the Tournament Director manual, but an
evaluation will also include if the tournament provided the recommended items.
The items listed in the Tournament Director’s Manual, are a minimum of items required and the
Adult/Senior Competitive Committee retains the right to assess the overall quality/standard of the
tournament when determining whether future tournament sanctions will be renewed.
I, the undersigned tournament director and/or tournament sanction holder, do hereby agree to the
following (initial the box by each item):
1. I have read the Tournament Director’s manual and I am aware of the requirements of my
tournament level including all recent changes.
2. I am aware of the appropriate draw types for the number of participants in each division and that
Draws must be out within 48 hours of the scheduled start date to accommodate players that travel.
3. I am aware and understand that ALL participants of a USTA Southwest Sanctioned tournament must
have a valid USTA membership to participate. Failure to comply may result in my Tournament
Sanction being reviewed.
4. I am aware and understand that it is highly recommended that if I, as a tournament director, allow
players to register past the posted deadline a late fee of no less than $10.00 will be imposed to that
player and the posting of draws will not be held past the 48 hours deadline to accommodate players
attempting to register late.
5. I will put the following information on my Tournament Cover Page in TennisLink:

Hotel information if tournament draws from out of town;

the tournament or do not open early enough for warm up.

□I agree to provide the following for my tournament participants:
All levels of tournaments:
1. Awards will be presented to the 1st Place Winner and Finalist of the main draw for each division.
2. Desk staff, court monitors and other volunteers will be knowledgeable as to the format and
general rules of the event.
3. Draws will be posted near the tournament desk and updated regularly both online and on site.
4. Courts will be inspected and in playable condition at the time matches start.
5. Officials must be present - one per each tournament site.
In addition to the above requirements for All Levels, all Level 1 tournaments will provide:
1. A player social/ food amenities (i.e. lunch to include sandwich/burger/hot dog and a drink etc.)
2. A player gift- i.e. Tournament T-Shirt, towel, hat etc.
3. Single sticks must be used for all singles matches.
4. Score tenders must be used.
In addition to the above requirements for All Levels, all Level 2 tournaments will provide:

This Tournament Agreement is made by the undersigned Organization Member and by the
Tournament Chairperson as the official representative of the Organization Member (Organizer) and
the USTA Southwest Section and upon acceptance shall become a contract binding upon the parties
hereto.
WITNESSETH THAT WHEREAS the USTA Southwest annually sanctions USTA Adult/Senior
Tournaments for numerous categories and junior divisions of male and female players; and
WHEREAS Organizer desires to promote, stage and administer a USTA Adutl/Senior Tournaments
(Tournament) hereinafter specified.
NOW, Therefore upon acceptance by the USTA Southwest Section for sanction, the Organizer agrees
as follows:
1. Rules and Regulations. Organizer agrees to abide by the USTA Constitution, Bylaws, Rules and
Regulations with respect to the Tournament. To the extent applicable, Organizer agrees to abide
by the USTA Southwest District Association’s Constitution, Bylaws, Rules and/or Regulations.
2. Revenue and Expenses. Organizer shall be entitled to all revenue from the Tournament.
Organizer assumes all risks and is responsible for all expenses relating to the conduct of the

Tournament. Nothing herein shall constitute the Organizer and the USTA as partners or joint
ventures.
Indemnification. Organizer agrees that the USTA grants sanctions for Tournaments as a service
to public tennis and as a benefit to the players and to local communities in which such
Tournaments are staged. The USTA shall have no responsibility for the actual conduct of the
Tournament including but not limited to the Registration of the Tournament through the
TennisLink Registration System or TDM, and Organizer agrees to indemnify, defend and save the
USTA harmless from any and all claims of every kind, nature and description in any way relating
to the conduct of the Tournament, the TennisLink Registration System or TDM, the facilities
used by the Tournament or the players, officials and spectators at the Tournament.
Resolution of Discrimination. The sanctioned event shall be conducted and the host facility shall
operate without regard to race, creed, color or national origin. Any facility hosting a USTA
sanctioned event, shall be required to adhere to this policy.
ADA Compliance. Organization Member agrees to be ADA compliant to the extent it is required
or necessary.
Notice of Change. Organization Member agrees to notify the Coordinator of Competitive Play in
the event any information provided in Sections 2, 3, 4, 5, and 6 changes. Any changes to this
Agreement may constitute a breach of this Agreement, unless approved by all parties
