My share does not appear in search engines

A public share is reachable by anyone with the link, and invisible to search engines until you ask for the opposite. Here are the two things to do, in order.

01Understand why a share is not findable by default

A public share is created not indexed. It opens for whoever has the link, and it does not enter search engines. That is the right setting by default: a document is sent to somebody, it is not published to the world.

Making a document findable is therefore a decision, and it is taken share by share.

02Allow indexing on that share

Open the share, then the Indexing block. Choose Index, and save. The setting is part of a paid tier.

An extra box announces the document to the Sitemaps and IndexNow protocols. It does not guarantee indexing: it tells the engines that the page exists, which shortens the wait before their first visit.

03Check the real state of the share

At the top of the page, a label says Indexed or Not indexed. It states the real state: a password protected share stays not indexed even if you allowed indexing, and the page tells you so.

04Put a link to the document from a website

This is the step everybody skips, and it is the one that counts. A search engine discovers a page because another page points to it. With no incoming link at all, a document allowed to be indexed can stay unknown for months.

A link goes into a page of your site like this:

The text of the link matters as much as the address: write what the document IS. Click here says nothing to anybody, neither to the reader nor to the engine.

05Put that link where it will be seen

In order of usefulness: a page of your own site that talks about the document, a page of your organisation listing its publications, the site of a partner citing the document.

Links you place yourself on directories or in comments carry no weight, and buying them exposes you to a penalty. A link is worth what the page carrying it is worth.

06Wait, then check

Count on several weeks. To find out whether the document has gone in, search for its exact address in the engine, preceded by site:, for example site:public.pdf-archive.com/YOURHASH/. No result means it has not gone in yet.

What no setting can promise

Allowing indexing tells the engine it has permission to come in. It decides alone whether it does, and nobody can promise otherwise. A document with no incoming link at all, on a subject already covered by a thousand pages, often stays out.

Making a document findable is irreversible in practice

Once a public document has been seen by robots, it can be copied, cached and republished elsewhere. Setting the share back to not indexed takes it out of the engines over time; it does not recall the copies.

A reported share is not indexed

A share that is the subject of a report being handled stays out of the engines, whatever its setting.
